Terms of Service
These terms govern use of Frexeo, the email and document automation service at frexeo.com (the “Service”), provided by Frexeo (“we”, “us”). By signing in to or using the Service you agree to them. If you use it for a company, you confirm you may accept these terms on the company’s behalf. If you do not agree, do not use the Service.
1. The Service
Frexeo connects to mailboxes a customer chooses, reads the messages and attachments in them, recognises and extracts information from shipping documents, helps people review and respond, and files documents to storage the customer chooses. It is a business tool for freight and logistics teams and is not offered to consumers.
2. Accounts and access
- Accounts are created by invitation from a customer’s administrator. You must give accurate details.
- Keep your credentials and multi-factor authentication devices to yourself, and tell us promptly if you think they have been exposed.
- You are responsible for what is done with your account, and customers for what their users do.
3. Connecting mailboxes and Google accounts
You may connect only mailboxes you own or are authorised to connect. A customer is responsible for making sure that connecting a mailbox, including one used by an employee, is permitted by law and by its own policies, and that the people whose messages are read have been told as the law requires. Frexeo’s handling of Google user data is described in the Privacy Policy and follows the Google API Services User Data Policy. You can disconnect a mailbox at any time.
4. Your data
The customer keeps all rights in the mail, documents and data it brings to the Service (“Customer Data”). It gives us the right to host, process, transmit and display Customer Data only as needed to provide the Service, including by the providers named in the Privacy Policy. We do not use Customer Data for anything else.
5. Acceptable use
You may not, and may not let anyone else:
- break the law or others’ rights with the Service, including by connecting mailboxes you have no right to read;
- probe, scan or test the Service’s security, or try to access another customer’s data;
- interfere with or overload the Service, or use it to send spam or malware;
- copy, resell or reverse engineer the Service, except as the law allows;
- use automated means to reach the Service other than through its intended features.
6. Automated output needs a person
Frexeo uses automated reading and AI to classify documents, extract values, flag differences and draft text. This output can be incomplete or wrong. It is meant to be reviewed, and you remain responsible for checking figures and details before relying on them, filing them, or sending anything to a third party.
7. Third-party services
The Service works with services we do not control, such as Google. Your use of those is also subject to their terms, and changes or outages on their side may affect the Service.
8. Our property
We own the Service, including its software, design and name. These terms give you only a limited, revocable, non-exclusive right to use it as intended while your account is active. Feedback you send us may be used freely to improve the Service.
9. Availability and changes
We work to keep the Service available, but do not promise it will be uninterrupted or error free. We may change features, and may suspend access to protect the Service or others or where these terms are broken.
10. Ending your use
You may stop using the Service at any time, and customers may ask us to close their account. We may end access for serious or repeated breaches of these terms. What happens to data afterwards is described in the Privacy Policy.
11. Disclaimers
The Service is provided “as is” and “as available”. To the extent the law allows, we give no warranties of any kind, including of merchantability, fitness for a particular purpose, accuracy of automated output, and non-infringement.
12. Limit of liability
To the extent the law allows, we are not liable for indirect, incidental, special or consequential loss, or for lost profits, revenue or data, arising from the Service. Our total liability for any claim is limited to the fees the customer paid for the Service in the twelve months before the claim arose. Nothing here limits liability that the law does not allow to be limited.
13. Changes to these terms
We may update these terms. We will change the date at the top and, for material changes, tell customers in advance. Using the Service after a change takes effect means you accept it.
